Privacy Policy

This policy explains what personal information Future You PT collects, why, who sees it and what your rights are. It is written to be read, so it is short where it can be.

1. Who we are

Future You Performance Training (Future You PT) is run by David Price as a sole trader, based in Brighton, UK. We are registered with the Information Commissioner's Office (ICO), registration number ZC125399. We are the controller of the personal information described here.

2. What we collect

  • If you just browse the site: nothing that identifies you, unless you accept analytics cookies (see section 9).
  • If you book a free call: your name, email address and anything you write in the booking form. Bookings are made through Cal.com.
  • If you join the free Gym Confidence Course: your name and email address for your app account; your answers to the sign-up form (confirmation that you are 18 or over, your experience of exercise, how confident you feel training on your own, your reasons for exercising, what makes it hard to keep going, where you train, what equipment you have, how you would like to hear from us, and your mobile number if you give it); your answers to a health questionnaire (PAR-Q); what you record in the app (weights, reps and how hard each set felt); and anything you tell us in messages.
  • If you become a coaching client: the above, plus your training history, goals, injuries, health conditions, ADHD-related needs, check-in answers, body measurements and photos if you choose to share them, and the messages we exchange.
  • If you pay us: payments are taken through Everfit Payments, which uses Stripe. We see that you have paid and the amount; we do not see or store your full card details.

3. Why we use it, and our lawful basis

  • To run the course or your coaching (workouts, helpsheets, messages, answering your questions, taking payment). Basis: it is needed to provide what you signed up for.
  • To check it is safe for you to train and adjust your programme. Basis for health information: your explicit consent (section 4).
  • To book and run calls and reply to your enquiries. Basis: it is needed to take steps you asked for before you sign up.
  • To tell you about coaching and future courses by email or text. Basis: your consent, given separately for each, and you can withdraw it at any time.
  • To understand how the site and the course are used and improve them. Basis: analytics cookies need your consent; looking at how the course helps people is our legitimate interest, and we use it in summary form.
  • To keep accounting and tax records. Basis: a legal obligation.

4. Your health information

Information about your health is special category data under UK data protection law. We only use it with your explicit consent. For the free course you give it by ticking the consent box at the start of the health questionnaire; for coaching you give it during onboarding. We use it only to check that training is safe for you and to personalise your programme.

You can withdraw your consent at any time by messaging Dave in the app or emailing dave@futureyoupt.com. We will stop using it. Because we cannot check that training is safe for you without it, you will not be able to carry on with the course or coaching. Withdrawing does not change anything we did before you withdrew.

5. How your health answers are used

If you answer No to every health question, the app gives you the free course straight away. If you answer Yes to any of them, nothing is decided automatically: your course is held while Dave reads your answers himself, and he will be in touch within 2 working days. For some answers (heart conditions, chest pain, dizziness, or blood pressure or heart medication) we will ask you to check with your GP before you start.

6. Who can see your information

Only Dave sees your health information and your coaching records. We never sell your information. We share it only with the services that help us run Future You PT, and only so far as they need it:

  • Everfit, which provides the Future You app, workout tracking, messaging and payments (Everfit Payments).
  • Cal.com, which handles call bookings.
  • Google Analytics (through Google Site Kit), for website usage statistics, only if you accept analytics cookies.
  • Our website hosting and security providers (WP Engine and Cloudflare), who handle web traffic to the site.

We do not share your health information with anyone else unless the law requires it. Each provider has its own privacy policy and acts on our instructions for the information we give it.

7. Transfers outside the UK

Some of these providers process information outside the UK. Everfit, which runs the Future You app, is a US company. Its published list of sub-processors shows your information being hosted and stored in the United States (on Amazon Web Services and MongoDB), with other US providers handling things like email and text delivery and payments. Our agreement with Everfit (its Data Processing Agreement) builds in the Standard Contractual Clauses for transfers of UK personal data to countries without an adequacy decision. Google (analytics) and Cal.com (bookings) may also process information outside the UK. Where information leaves the UK, we rely on a safeguard recognised by UK law.

8. How long we keep it

  • Health questionnaire (free course): 6 years after your course ends, in case our insurer needs it, then deleted.
  • Other free course information: 24 months after your course ends, then deleted, unless you become a coaching client.
  • Enquiries and call bookings that do not lead to coaching: up to 24 months, then deleted.
  • Coaching clients: for as long as we work together and 12 months after your last session, then deleted. Training data we keep for improving our service is anonymised first.
  • Financial records: 6 years, as HMRC requires.
  • Marketing emails and texts: until you unsubscribe or withdraw consent.

9. Cookies

The site uses a small number of cookies. Essential cookies make the site work and are always on. Analytics cookies (Google Analytics) tell us which pages are used; they are only set if you click Accept on the cookie banner. You can change your choice at any time using the Cookie settings link in the footer. The full list, with what each cookie does and how long it lasts, is in our Cookie Policy. Our booking calendar on the Book page is provided by Cal.com and may set its own cookies when it loads.

10. Your rights

Under UK data protection law you can ask us to: give you a copy of the personal information we hold about you; correct anything wrong; delete it; restrict or object to how we use it; send it to you in a format you can take elsewhere; and stop using it where you gave consent. Email dave@futureyoupt.com and we will reply within 1 month. There is no charge.

11. Keeping it safe

The site uses encrypted connections (HTTPS). Your coaching records are held in the Future You app and in access-controlled files that only Dave can open. If a breach ever put your rights at risk, we would tell you and the ICO promptly.

12. Under 18s

Our services are for adults aged 18 and over. We do not knowingly collect information from anyone under 18. If you think we have, please contact us and we will delete it.

13. Changes to this policy

If we change this policy we will update the date at the top. If a change affects how we use your health information, we will tell current clients and course members directly.

14. Complaints

Please come to us first at dave@futureyoupt.com and we will try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
